A simple application tracker helps you manage multiple NYC government opportunities without losing deadlines or confusing similar job titles.
Create a tracker
Use a spreadsheet or notebook with columns for job title, agency, Job ID, official URL, date found, closing date, eligibility notes, documents required, application date, confirmation, and follow-up status.
Verify before you apply
Open the official City of New York job announcement for each entry. Confirm that the vacancy is still open, the Job ID matches, and you meet any exam, title, education, experience, license, or residency conditions.
Set a weekly review
At the start of the week, sort your tracker by closing date. Set reminders several days before deadlines, and prioritize applications that need documents or extra preparation.
Record what you submitted
After applying, record the date and save any confirmation number or email. Keep copies of the résumé and other documents used for that application so you know exactly what was submitted.
Follow up professionally
If the agency provides a contact or timeline, follow those instructions. Avoid repeated messages when no follow-up is requested. Update the tracker when you receive an interview request, status change, or final decision.
Protect your information
Store application documents securely. Do not put Social Security numbers, account passwords, or other sensitive personal information into a general tracking spreadsheet or share them with unofficial job sites.
A short weekly review is often enough to keep your search organized. The official announcement and the hiring agency remain the source of truth for requirements and status.
